Minutes Takers

We will not record minutes today. Starting for our next meeting, I will assign people to take minutes in order of their last name.

The next 4 minutes takes in order are:

If we each take one turn writing minutes, then each person only has to do it more than once every 3 years or so.

Agenda Items

1. Office Moves

  • Thanks to Dawnette Shellhammer for overseeing our faculty office move planning
  • Faculty who are moving offices should pack by Friday July 24
  • To get access to the building to pack or get items from your office, please email Gian, Jason Mackovyak (jmack@iup.edu), Anthony Clement (jclement@iup.edu), and Dorothy Gracey (dgracey@iup.edu) and give the date, time, reason for going to the building, and rough length of time needed
  • Dawnette is working on getting boxes
  • Please coordinate with the person who is moving out of your office to get keys, etc.
  • Hopefully maintenance can move items before fall

2. IUP English Fall 2020 Plans

The Fall 2020 HawkFlex Teaching Model

  • President Driscoll and Provost Moerland have declared that IUP will use a flexible course delivery model for Fall 2020 instruction
  • Faculty are being given flexibility to make decisions
  • This is nicknamed the HawkFlex Teaching Model
  • The HawkFlex Teaching Model involves
    • Classrooms will be filled to 1/3 capacity to enable social distancing
    • All other students will Zoom synchronously
    • Students will rotate through a physical presence/Zoom presence
    • Most likely the HawkFlex model will run until Thanksgiving break; after Thanksgiving break, all instruction will probably be moved online

Fall 2020 English Department Meetings

  • All meetings will be held via Zoom
  • The meetings are already schedule on the IUP English Google Calendar
  • Recordings of all meetings will be posted and are stored by Zoom for 120 days

Office Hours/Availability

  • Online Office Hours (5 synchronous hours of availability; please make additional arrangements to meet if students are having problems)
  • Email availability for all students including both D2L email AND IUP email
  • Main English Office Available by email, phone, and/or zoom
  • English Chair and English Assistant Chair available by by email, phone, and/or zoom
  • We will probably chain off the hallway to the main office to limit traffic (but of course you can go to your office)

Flexible Work Assignment (FWA)

  • Please let Gian know if you have requested a Flexible Work Assignment so he can try to plan
  • FWAs may or may not be granted by IUP administration
  • Face-to-face classes already scheduled cannot be changed to online courses; Gian already asked about doing this and was told no
  • We have only a few online course for Fall 2020:
    • ENGL 101: 2 sections
    • ENGL 121: 4 sections
    • ENGL 202: 8 sections (2 are cannot be reassigned because they are part of the Punxy/Northpointe assignment)
    • ENGL 415 (cannot be reassigned because it is part of ESL Certificate)
    • ENGL 426/526 (cannot be reassigned because it is part of ESL Certificate)
    • This means there are at most 12 sections total which could possibly be reassigned by administration

Public Spaces

  • Masks must be worn at all times except when in your private office
  • Mask wearing will be enforced by administration
  • Problems will go to student conduct/HR
  • People are not permitted to work/congregate in hallways, lounge areas, etc.
  • But you can say hello 🙂

Classrooms

  • Faculty are NOT permitted to move classrooms on their own in the fall
  • All classroom changes must be officially documented for cleaning purposes
  • Gian is going to the building Friday to work with the other chairs to measure classroom space; Chauna Craig measured the Honors College classrooms on Sunday
  • IUP is using a 6′ square around each student
  • Classrooms will not be limited to 1/3 capacity
  • Faculty can set up their own rotation/use of time

Teaching

  • Faculty are in charge of their courses
  • Set up your own groups; divide the class as appropriate
  • You can set whatever schedule meets your learning goals and ensures student and faculty safety
  • Provide a high quality learning experience
  • Try to respond in a reasonable amount of time to emails
  • Make sure students are not confused
  • Document your HawkFlex plans in your syllabi; you may be required to turn in your syllabi
  • Do NOT send grades via email
  • You can decide if you want your class to go online after Thanksgiving

5. MS Teams/Outlook Calendar

  • We have 1 year to move from Dropbox to MS OneDrive
  • Everyone is a member of the IUP English MS Team
  • Gian posted all policies for the department in the team
  • We will begin using the IUP English Calendar in Outlook
  • All faculty can post to this calendar

6. What You Can Do

  • You can control your class: Prepare to teach great classes using the HawkFlex approach
  • Take care of yourself: Practice social distancing, enjoy the summer, eat right, exercise, and get plenty of sleep

IUP English Calendar in Microsoft Outlook

  • We will now be using the English Department Group Calendar available in MS Outlook
  • All English faculty automatically have access to this calendar and can add events to it
  • If you need help adding an even to the calendar, please contact Dawnette who will help you to add your events and meetings to the English Calendar
  • Please check the calendar before scheduling meetings to help limit conflicts
  • TR from 2:00-4:00 p.m. is a common open time for all English tenure track faculty members to use for meetings
